The design brief
Never approve imported furniture from a mood image alone. Freeze dimensions, materials, colour references, comfort, hardware, packaging and inspection standards in writing before production—and compare the landed, supported alternative available locally.
- Use signed physical samples for every visible finish.
- Approve one production-ready specification per SKU.
- Define pre-shipment inspection before the balance payment.
- Compare landed cost and service risk with the local option.

China Furniture Sample Approval Checklist
Written for buyers comparing luxury furniture in Delhi NCR, Gurgaon and South Delhi—including searches for an MG Road furniture showroom, the closest premium furniture store near me, imported furniture and a practical alternative to direct China sourcing.
Turn the reference image into a specification
A photograph communicates style, not construction. Define overall dimensions, seat height and depth, frame material, foam, upholstery code, stitching, leg finish, stone or veneer, hardware, mechanism and allowable tolerance. Supplier substitutions should require written approval.
Approve colour and comfort with evidence
Request labelled physical samples and view them in daylight and warm evening light. Natural stone and wood need an agreed acceptable range. For sofas, document seat height, usable depth, back angle, cushion build and firmness; a catalogue cannot communicate the final sit.
Inspect mechanisms and repeated details
Recliners, sleepers, hydraulic beds, drawer runners and extension systems need repeated cycle testing. Compare stitching, gaps, handles and plating across several units. The inspector should work from the signed specification, not from a sales photo.
Engineer packaging for the complete route
Define corner protection, moisture barriers, carton or crate strength, stone handling, hardware labels and assembly instructions. Retain dated packing photographs and package dimensions. Final payment should follow an agreed inspection result and remedy for failed items.
For one or two pieces, a showroom-tested design with local delivery and service can be the lower-risk choice.
The decision sheet
Dimensions, materials, finish codes and tolerance.
Signed samples retained by both buyer and supplier.
Independent evidence tied to the final specification.
Freight, customs, handling, installation and damage risk.
Compare the complete route
A factory quotation is not a landed cost. Add international freight, insurance, inspection, customs, taxes, storage, local handling, installation, damage allowance and after-sales support. Direct importing may suit a large professionally managed project; for an individual sofa, bed or dining table, seeing and testing a locally supported piece can be more predictable.
Use the same checklist on both routes: specification, finish approval, comfort, package size, delivered cost, lead time, damage responsibility and service.
Costs buyers miss
- Freight and documentation
- Inspection, duties and taxes
- Storage and local handling
- Transit damage and mismatch
- Parts, repair and service
